Most small businesses do not lose calls because nobody cares. They lose them because the owner is on a job, in a meeting or asleep, and voicemail is where a new customer goes to give up. An AI receptionist fills that gap. This page explains plainly what one does on a call, what you get afterward, how to point your calls at it, and where it stops being useful.
The short answer
An AI receptionist picks up when you do not. It greets the caller with the greeting you wrote, answers questions from the material you gave it, collects the details you asked for, books time if your calendar is connected, and logs the whole call in your app.
It is not a stand-in for you on complicated or sensitive calls. It is a dependable first responder that makes sure every caller gets an answer and every call leaves a record.
What an AI receptionist does on a call
Here is the sequence on a typical call, in the order the caller experiences it.
- It answers with your greeting. A good one is short: your business name, the agent's name and an offer to help.
- It listens and answers from what it knows. Facts come from files you upload, your website and an industry starter pack. When it does not know something, it says so and takes a message instead of guessing.
- It collects what you told it to collect. Name, phone number, email and reason for calling are common, and you can add your own fields.
- It follows your standing rules, such as never quoting a price for custom work or telling an emergency caller to dial 911 first.
- It books or flags. With Calendar Sync (Premium) it checks your real Google Calendar and books a free slot. Without it, the AI records a meeting request that waits for you to confirm.
- It ends the call and files it. The summary, transcript and recording land in your Calls tab and your phone gets a push notification.
The caller hears one continuous conversation. If they ask whether they are talking to a machine, it says it is an AI.
What lands in your app after the call
Every finished call opens as a short record you can read in layers, from quickest to deepest.
- AI summary: who called, what they wanted and what the agent did.
- Action items: anything that needs you, like a callback with a custom quote.
- Captured lead info: name, number, email and any field you set up.
- Transcript: the word-for-word conversation, for when exact wording matters.
- Recording: the audio, for tone and anything a transcript cannot carry.
You also get a push notification when the call ends. It goes to your phone through the app, and the app does not send the caller anything. Each call carries an outcome label (Completed, Voicemail or Booked) and a sentiment reading (positive, neutral or negative), so you can sort a whole day of calls in a minute.
How an AI receptionist learns your business
It can only answer what it has been taught. Out of the box it is a good receptionist with no memory of your company, and the Knowledge tab is where you fix that. There are three sources.
- Files: a price list, a rough FAQ, a service menu. Plain bullet points work as well as a designed PDF.
- Your website address: the app reads your site and learns from it. It knows what the site says, not what the site leaves out, so upload anything your site does not cover.
- An industry starter pack: loaded when you pick your industry, so the agent already speaks your trade. Your own uploads always win over the pack.
After the first week, skim your transcripts for questions it fumbled. Every "I'm not sure about that" is a missing entry, and that list is your to-do list.
Three ways to send calls to an AI receptionist
When setup finishes you get a dedicated phone number that the AI answers. How callers reach it is up to you.
| Setup | How it works | Good for |
|---|---|---|
| Direct number | Put the dedicated number on your website, listing or cards. Every call to it is answered. | A new line, ads, a website |
| Conditional forwarding | Your phone rings first. If you do not take the call, the AI picks up. Calls you answer yourself use no AI minutes. | Most owners starting out |
| Unconditional forwarding | Every call goes straight to the AI. | After hours, vacations |
Forwarding is set up with your phone carrier, not inside the app, and the in-app guide shows the dial codes for the major carriers. Customers keep dialing the number they already know. If you want the step-by-step version, read how to forward business calls to an AI receptionist.
A call, start to finish
Illustrative scenario: at 7:45 on a Tuesday evening a new customer calls to ask whether you cover their town and whether someone can come Thursday. You are at dinner. The AI greets them, answers the service-area question from your Knowledge tab, and takes their name, number and address. Then it asks which Thursday time suits them.
With Calendar Sync on, it books a free slot and the customer gets an email invitation. Without it, the AI logs a pending meeting request. Either way your phone shows a push notification, the summary takes ten seconds to read, and you confirm the request before dessert is done.
What an AI receptionist will not do
It does not diagnose, inspect or price a job nobody has seen. It cannot answer what you never taught it. It does not make outbound sales calls. And it should not carry a sensitive conversation alone: when a caller needs a person with judgment, the right setup is a rule that takes their details and flags the call for you.
If anyone mentions a fire, a gas smell or a medical emergency, your standing rule should send them to 911 first. Lastly, when your monthly minutes run out the AI pauses, and callers hear a brief message that the line is temporarily unavailable until your minutes reset.
Who gets the most from an AI receptionist
- Owner-operators who cannot answer while they work with their hands.
- Crews in the field, where the person who owns the phone is rarely near it.
- Businesses whose busiest calling hours fall outside office hours.
- Any business where one missed call can mean one lost job.
You may not need one if a staffed front desk already answers every call, or if nearly every call you get is complex and sensitive enough to need a person from the first word. In that case an AI is better used as an after-hours net than as your main line.
How to judge an AI receptionist before you commit
These checks work on any product, ours included.
- Call it yourself, twice. Ask what you offer and when you are open, then throw in a question a real customer might ask that you have not taught it.
- Open the transcript. If you cannot read what was said, you cannot fix what went wrong.
- Ask how minutes are counted and what happens at the limit.
- Check that you can keep your current business number.
- Ask whether it admits to being an AI when a caller asks. Our guide to telling callers they are talking to an AI covers the rules.
- Find out where billing happens and whether you can try it free first.

Plans and limits
- Pro24/7 answering, transcripts, bookings and 250 AI minutes a month.
- Premium500 AI minutes, plus Calendar Sync (books into Google Calendar), Spam Filters, the Website Widget and Integrations. Without Calendar Sync, bookings wait in Pending for you to confirm.
- Out of minutes? The AI pauses until your minutes reset on your billing date, or right away if you upgrade to Premium. Calls you answer yourself never use minutes.
- It is an AI and says so if a caller asks.

Ai receptionist: frequently asked questions
What is an AI receptionist?
An AI receptionist is software that answers your business calls, talks with the caller, collects their details, books appointments when it can and logs every call for you. No Missed Call is an AI receptionist you run from an iPhone or Android app.
How is an AI receptionist different from voicemail?
Voicemail records a message and leaves the caller waiting. An AI receptionist holds a conversation, answers questions from what you taught it, collects the details you asked for and can book time. You get a summary, transcript and recording instead of a message to decode.
Can an AI receptionist book appointments?
Yes. With Calendar Sync, which is part of Premium, it checks your real Google Calendar during the call and books a free slot. Without Calendar Sync it records a meeting request that waits in Pending until you confirm or dismiss it.
Does an AI receptionist work nights and weekends?
Yes. No Missed Call answers 24 hours a day, every day. Many owners keep their own phone ringing first and let the AI take only the calls they miss.
Do I have to change my phone number?
No. You get a dedicated number for the AI, then forward your existing line to it from your carrier. Customers keep dialing the number they already know.
Will callers know they are talking to an AI?
The agent says it is an AI if a caller asks. Many owners also say so in the greeting. Keep the greeting short: business name, agent name and an offer to help.
